Job Description

Responsibilities:

Manage an intricate calendar across multiple businesses, meetings, personal appointments, and global time zones

Prepare reports, presentations, agendas, and correspondence on behalf of the CEO

Track and follow up on all business action items, ensuring accountability and execution across teams

Serve as liaison to investors, board members, legal, financial, and operations teams

Attend key meetings (virtually or in person), take minutes, and oversee follow-through

Maintain confidential documents, contracts, filings, and critical information with discretion

Coordinate and oversee personal schedules, medical appointments, school communications, and family travel

Supervise household staff and vendors (cleaners, chefs, drivers, tutors, etc.)

Anticipate daily and weekly priorities and organize pre-briefs for the CEO

Personal errands, shopping, wardrobe coordination, gift sourcing, and returns

Manage recurring tasks (e.g., bill payments, renewals, memberships, subscriptions)

Maintain digital tools (task managers, communication platforms) to keep everything centralized and accessible

Handle all travel planning, including luxury and international itineraries, visas, and accommodations

Manage family events, social gatherings, holidays, and birthdays with care and detail
